Hotel Management Software in Ujjain & Indore — 2026 Buyer's Guide

If you run a 20-to-80 room hotel in Ujjain or Indore, you are probably running it on four things at once: a diary or spreadsheet for bookings, two or three OTA dashboards, a billing package that has never heard of your restaurant, and a WhatsApp group. Each of them works. The cost sits in the gaps between them — and that is what hotel management software is supposed to close.

This is a straight buyer's guide: what a hotel PMS must actually cover in India, what the local market looks like in Ujjain and Indore, and how to evaluate a system before you commit to a year of it.

What hotel management software actually is

A hotel management system — usually called a PMS, or property management system — is the system your hotel runs its day on. At minimum it should own:

  1. Reservations and the front desk — availability, rates, check-in, check-out, a tape chart that cannot sell the same room twice.
  2. Guest folios and billing — every charge on the stay, in one bill, settled once.
  3. Housekeeping — room status, minibar, maintenance.
  4. Direct booking — your own booking page, so a guest who already knows you does not arrive through a commission.
  5. Tax and accounting — GST at the right slabs, returns that come out of the day's work rather than a month-end rebuild.
  6. The guest register — the Form-F register your local police station expects, produced from the check-in you already did.
  7. Reporting the owner can actually read — collections, dues and occupancy, on a phone, today.

If a vendor calls something a PMS and it does not cover 1 through 5, it is a booking widget or a billing package with a hotel skin. That distinction is worth more than any feature list.

What the Ujjain hotel market actually needs

Ujjain hotels do not run on a Monday-to-Friday calendar. Occupancy swings with the temple: a quiet Tuesday and a festival weekend are two different businesses, and one printed rate sheet has to serve both. Most of the register is walk-in, most of it is cash, and Simhastha 2028 is going to test every property's inventory discipline at once.

That puts unusual weight on four things:

  • Date-wise rates and rate plans — a festival weekend priced before it arrives, not argued at the counter.
  • A commission-free direct booking page — the repeat pilgrim who came back on their own should not cost you a cut.
  • A Form-F register that keeps itself — because at volume nobody is copying a diary by hand.
  • A Hindi, phone-first staff app — staff turn over, and the ones who stay are far more comfortable in Hindi than in a desktop screen full of English fields.

What the Indore hotel market actually needs

Indore is a business-travel market with a serious food habit, so the pressure sits somewhere else entirely:

  • Corporate accounts and a city ledger — bill-to-company stays settled weeks later need a real credit limit, ageing and a statement, not a WhatsApp reminder.
  • A proper restaurant POS — kitchen orders that land on the guest's folio the moment they are served, at the F&B slab rather than the room slab.
  • Travel-agent commission handling — accrued at check-out and netted against what the agent owes, not reconstructed in a notebook.
  • Group roll-up — many Indore owners run more than one property and cannot get one honest number until the accountant closes the month.

The OTA maths nobody does out loud

Work out what you actually pay in commission for one year, then compare it to what a PMS costs for the same year. For most 30-room properties the OTA cut on repeat and direct-intent guests alone is a multiple of the software. The point is not to leave the OTAs — they bring the traveller who could not find you. The point is to stop paying a cut on the guest who already knew your name, which needs your own booking page and a single availability calendar behind it.

GST, and why it should not be a month-end job

Room and F&B sit at different slabs, and a room-plus-meals package is a composite supply — one tax line, at the room slab, on the combined value. If your billing package does not know that, somebody is fixing it in a spreadsheet every month. Ask a specific question in the demo: show me GSTR-1 coming out of the same ledger the night audit closed. If tax is a separate export from a separate system, you have bought two products, not one.

How to evaluate — six questions that separate real systems

  1. Can I open a live demo right now, without a sales call? If the answer is a calendar link, you are buying a pitch, not a product.
  2. What happens to my existing bookings and guest history? Migration should be included and done before you go live.
  3. Does it work when the internet drops? The honest answer is nuanced — check-in and payments need a connection. Be suspicious of anything that claims full offline operation and more suspicious of anything that pretends it saved when it did not.
  4. Who can see the P&L? Money screens should open only for the roles you grant them.
  5. How is it priced? Per-booking commission and per-user licences both punish you for growing. A yearly price quoted on room count does not.
  6. What am I locked into? Your bookings, guests, folios and GST reports should be exportable on the day you ask.
